Emailing from Maze

Emails may be sent for a number of reasons, for example sickness or accidents at school, behaviour notifications, awards or any other event that may be occurring within the school.

Emails can be sent on an ad-hoc basis to either a single family, or to a group of families who have been set up as recipients.

Emailing from Maze is no different from emailing from any other work station. The software uses the email client, for example Microsoft Outlook, to send an email using the mail to command to enter the email address of the recipient.

 

Ad Hoc Email to an Individual

It is possible to send ad-hoc email messages to anybody who has a registered email address. This can include parents, staff, employees and students. These messages can be sent to individual recipients or to a group of recipients, and may be sent at any time.

Students and Families > Student and Family Records > View and Maintain Family Details > Family with Student

Mary Abernethy, Michael’s mother, has informed the school of her email address and the school would like to add it to their database.

Load the record for the Abernethy family
Select Parent Information tab
Enter an Email address for the Mary

Save by Double click email in maze button

An email client for example, Microsoft Outlook, is launched. A subject and message may be entered and the email sent.

Close Outlook

 

Ad Hoc Email to both Parents

Students and Families > Student and Family Records > View and Maintain Family Details > Family with Student

Load the Berry family’s records

Click the Email Parents icon (at the far right on the Home ribbon)

Click Send

Note: Any multiple selections of email addresses will result in the addresses being displayed in the Bcc (Blind carbon copy) field.

Close Outlook

 

Ad Hoc Email to Groups of Parents

It is possible to select a group of parents using the Maze search facility and then send an email to all those in the selected group.

Students and Families > Student and Family Records > View and Maintain Family Details > Family with Student

Click search button
On the Students in Family tab, enter 11.3 under Roll group

Click Email Results

Deselect Michael Abbott

Click Send
Close Outlook

 

Ad hoc Email to Family Groups

Students and Families > Student and Family Records > View and Maintain Family Details > Family with Student

Load the records for the Brown family
Select Students in the Family tab

Click Email Table on the far right of the Home ribbon

Click Send
Close Outlook

 

Email Newsletter Advice to Parents

Database Management > Emailing Reports > Email Reporting > Email Report Management

Load the Newsletter Template

Edit the message if you wish then Save and close

Emailing reports such as Creditors Electronic Remittances, Family Statements and SMS Messaging is also possible in Maze. Please contact us for more information.
